Captain's Corner
More detailed information and checklists will be available in the Offical Race Guide. This is just to help you understand what you might be getting into!
- The Team Captain must be a member of the team.
- They need to put together a team.
- They will need to register their team online.
- They will need to have all the other teammates register online also.
- They will need to secure all race equipment (such as vehicles, safety gear, etc.)
- They will need to print all required race material for their team (guide books,waivers, etc.)
- They will need to collect each teammates portion of the registration fee, and other fees such as team shirts or uniforms, gas money, food, etc.
- They will need to confirm their team´s start time via email.
- They will need to attend a Team Captain's Meeting and bring a copy of the Race Guide.
- They will need to pick up their race packet.
- They will need to turn in their Team Time Sheet and sign out their team at the end of their race.
Organize a Team
Come up with a few friends that you would love to take this adventure with you. Ask them. If still need more teammates you should start talking with neighbors, coworkers, other friends, and send out status updates and tweets (and other social networking site communications) asking for friends who would like to run. Ask any of your current teammates if they have friends who would like to run. Check out our forums to see if you can pick up a teammate there. You will also need to recruit 2 volunteers to take a 4–6 hour shift on one of the race days. Once you have your teammates and volunteers, your team is complete. You do not need to have a completed team to register for the race. As you find other teammates they can register anytime before May 1, 2010.
Co-Captains
Choose a co-Captain. They can help you organize your team, gather waivers and registration fees (teammates are more committed to the event and their training once their fees are paid), organize your travel arrangements, etc.
Team Name
You will need to come up with a Team Name. Please choose a Team Name that is appropriate for public announcement and media (no curse words, etc.). . If the team name is not filled in then it will be the last name of the Team Captain. You have until April 1, 2010 to make any team name changes free of charge.
Registration
Teams must register online at www.active.com.
The online team creation and registration process must be done by the Team Captain. Part of registration is picking a team category to race in, entering a team name and paying the full fee.
Your team will then be registered and your individual teammates will now need to be entered. Team Captains will need to login and add their teammates. We suggest having that teammate nearby when registering them, either in person or on the phone. You will need to have all their information correct. It is crucial to receive your typical race day 10k pace estimate in min/sec in order for us to accurately assign the appropriate start time for your team. You can add or remove people from your team, but you may not be able edit their information.
Please be sure to use an email address that you check regularly in case the relay crew needs to get in touch with you quickly.
Volunteer Registration
There's been a change! Volunteer Registration will need to be done on this site. Once you register, you will be sent an email (usually within 24 hours of registering) that will give a link to the website where you can manage your team online. This is where you will input your volunteer information.
Registration Bonuses
- Be one for the first 20 teams to register and you will receive a cool bonus upon race packet pickup.
- Be one of the first 10 teams to complete your entire team registration and your entire team will receive a bonus at packet pickup.
Age Restrictions
All participants – Runners and Volunteers must be 13 years or older. The only exception is if you are signed up in the Regular +2 category. You may then have 2 runners that are 14 and under, run the first and last half mile of the race. Any participant under the age of 18 must have a parent or legal guardian sign a waiver.
Pace Projections
You will need to submit an actual 10k race time for each teammate. This is not your estimated race pace for the Relay. This must be accurate to ensure an appropriate start and finish time. Please do not "sandbag" your times. Sandbagging is to submit slower times to ensure an early start time.
Registered Team List
During the May 2010 registered teams will be listed online. When registering after the list is already posted, it may take several days for your team to appear on the list.
Other Info
Vehicles
You will need to secure two vehicles for use on race day. You could use your own, use a teammates, borrow from friends or family, or you could rent one, etc. There will only be 4 people per vehicle. You may use a car, but we would suggest something with more space like a mini van or an SUV. All 4 people in the car must be participants, unless you are on a solo, duo or high school team. Solo teams are allowed a support crew. Duo and High School teams are allowed a non-participant driver.
Team Spirit
These are not mandatory, but could sure be fun! Have a team meeting, bbq, dinner, etc. Set a team blog, facebook group, email chain etc. Get the team involved in coming up with a team uniform (costume).
Race Logo
Your team may decide to have team shirts printed. If you would like to put the Happy Valley Relay Lake Chase logo on your shirts (permission is granted for shirts only), you can click the following links and save the photo (right click then click "Save Picture As").
Team Captain´s Meeting
Team Captain´s will be required to attend our Team Captain´s meeting. If, in the event the Team Captain cannot come, then the co-Captain should be there. Your team may not be able to run if your Captain or co-Captain does not attend the meeting.
Charity Giving
The Team Captain of the overall team winner (the team with the fastest time, no matter what division or category they are in), will get the privilege of deciding which local charity (that meets our requirements, see Official Race Guide) our race will donate to.
Additions/Substitutions
If a teammate needs to be replaced, the team captain should edit the team registration online. You have until May 15, 2010 to do this free of charge. Any substitution after this will require a $5 fee and must be noted at team check-in.
